Who is responsible for your information
RF Solar Co Ltd is the intended controller for the information described in this notice. The legal entity name, registered office, company number and dedicated privacy contact details are still to be confirmed and must be inserted before public launch.
What we collect
When you contact us or use the guided project enquiry, we may collect your name, job title, organisation name and type, work email, telephone number, address, project location, project requirements, procurement details, budget or contract-value range, timescale, project documents and the details you choose to provide.
If you use the website information assistant, the question you enter is processed to provide an answer drawn from approved RF Solar website content. Do not enter confidential, special-category or unnecessary personal information into an information-search question. We do not require contact details merely to show an information answer.
If you use the separate human follow-up request, we collect the question or request you write, your name, and either a mobile number or email address so that a person can contact you. The Project Assistant does not provide technical advice or answers.
We also record the policy version, consent choice and timestamp associated with a submitted guided enquiry or follow-up request, so that we can evidence the permission given for that submission.
Why we use it
We use enquiry information to assess whether a proposed public-sector or approved organisational project is suitable, respond to the enquiry, arrange follow-up, prepare or discuss an appropriate proposal, maintain an internal record of the enquiry, and protect the security of our service.
The website information assistant is designed to help visitors find approved RF Solar website information. It does not replace human, technical, legal, engineering or procurement advice. If you request human follow-up and submit your contact details with consent, the team receives the name, contact route and request summary you provided so they can respond.
The guided enquiry uses objective rules to produce an internal priority category based on project information such as organisation type, procurement stage, scale and timescale. The score is used to help our team prioritise review; it is not used to make a solely automated decision with legal or similarly significant effects on an individual.
Enquiries are recorded in a secure internal inbox available only to authorised RF Solar staff. Direct email alerts remain disabled until RF Solar approves and configures a verified email service.
Our lawful basis and consent
For a project enquiry, RF Solar intends to rely on the consent recorded when you submit the guided enquiry. The consent checkbox is separate, unticked by default and records the version of this notice and the time of agreement. You may withdraw consent by contacting us, although this will not affect processing already carried out before withdrawal.
If RF Solar later wants to send separate marketing communications, it will provide separate wording and an appropriate opt-in or other documented lawful basis. Project-enquiry consent is not a blanket consent for unrelated marketing.
Who may receive your information
Access is limited to RF Solar personnel and approved service providers who support website hosting, secure data storage, technical administration and the assessment or delivery of a project. We may share relevant project information with suitably qualified delivery partners where this is necessary to assess or deliver a requested project, and we will explain this where it applies.
We will review any international transfers made by our service providers and document the appropriate safeguards before public launch.
How long we keep it
Draft retention approach: retain unsuccessful or inactive project enquiries for no longer than 24 months from the last meaningful contact, unless a longer period is needed to handle a live tender, legal claim, contractual process or documented regulatory requirement. Review and confirm this retention schedule before launch.
Your rights
Depending on the circumstances, you may ask for access to, correction of or deletion of your personal data, or for processing to be restricted. You may also object to certain processing and request data portability where applicable. You may complain to the Information Commissioner’s Office. The right to object to direct marketing is absolute.
To exercise a right or withdraw consent, contact the dedicated privacy contact once published. This policy will be updated with those details before public launch.
Cookies and analytics
Please read our Cookie Policy for details of essential technologies and optional analytics. Optional analytics are not loaded until you make an active choice through the cookie control.
